Notices and Reminders

Reminder: Research Integrity Training Requirement

All individuals at OUHSC who conduct or oversee research, who are eligible to conduct or oversee research - including managing research accounts (administrative and/or financial aspects of research accounts), must complete Research Integrity Training. Learn more at: https://research.ouhsc.edu/Research-Integrity or https://research.ouhsc.edu/Research-Integrity/Research-Integrity-Training-FAQs

Key Points:

  • PI’s are responsible for ensuring all members of their research team have completed Research Integrity Training
  • Business Managers should assign Research Integrity Training via ePAF to everyone in their unit whose duties fit the requirements to ensure the department’s compliance is recorded in PeopleSoft
  • Anyone with an OUHSC email address can register with CITI Program, affiliate with the University of Oklahoma Health Sciences Center, and then add the required course: “Responsible Conduct of Research”; step-by-step instructions are attached
  • Contact the Research Integrity Office for assistance or questions: ResearchIntegrity@ouhsc.edu or 405-271-7755

Reminder: ECAV Guidance. An "Application to Establish a Chartfield Attribute Value" form (ECAV) is used to establish projects with no external sponsor or those without a fully executed contract. This form is completed by the requesting department/Principal Investigator. If you are submitting an ECAV for a multi-project award, you only need to submit a single ECAV form. When you submit the ECAV form for the next year of the prime, please provide an Excel spreadsheet that includes which projects you want setup with ECAVs, as well as a budget breakdown for each.

For the Streamlined Noncompeting Award Process (SNAP) awards from NIH, if there are additional years left on the award and the continuing year Notice of Award (NoA) hasn’t been received yet, you do not need to submit an ECAV. You only need to notify your accountant in the Grants & Contracts Accounting Office (GCA) via email and they will move the project to “K” status. A “K” status means “Continuation Pending”, so that you will be able to continue with the project as normal until GCA receives the NOA and moves it back into “Open” status.

ORA Reminder: Each senior/key personnel must electronically sign their respective NIH Other Support form. The version with the original electronic signature will need to be retained by the department, to be made available to NIH and/or ORA upon request. ORA will only keep the final flattened versions on file as part of the submission package and cannot serve as the central repository for the original signed copies of the Other Support.

ORA reminder: All research, training, professional, provider, public service, and clinical trial contracts, or any terms and conditions involved in the award document MUST be routed through ORA for legal, fiscal, and administrative review by an authorized agent of the Board of Regents of the University of Oklahoma in ORA. Individual faculty members are NOT authorized representatives of the University and may not negotiate or sign contracts or any award terms or conditions on behalf of the University.
