iThenticate: Now available for OU Health Sciences Researchers
iThenticate is an online tool that researchers can use to screen their own research papers, grant proposals, or other scholarly writing against a large database of published content to identify text similarity and help flag possible issues with originality or AI-generated text. iThenticate provides similarity reports that can be useful to identify and prompt closer examination of potentially problematic areas of insufficient citation or unreported AI-generated text. This type of resource can be particularly helpful for team-based research projects where multiple individuals contribute text to a larger body of work like a manuscript, grant application, or progress report. Using iThenticate – the same tool utilized by most scholarly journals and funding agencies to screen submissions – will allow OU Health Sciences researchers to identify and address potentially inappropriate text duplication or improper citation in their own work before external submission or dissemination. OCAST is transitioning to a new application system for the next fiscal year, starting July 1, 2025. All future applications for our Industry Innovation and Intern Programs will be through our new funding portal. More information can be found here:
As a result of this transition, OGX will no longer be used for RFPs (reimbursement requests) or progress reports. Attached you will find the templates for these documents. Please use these documents when you need to fill out an RFP or a progress report. Please fill them out and send them via email to
laura.sohl-smith@ocast.ok.gov, and they will be manually entered into our new system. It is our hope that the portal will be able to accept these documents as an upload in the coming months.
CONFERENCES AND WORKSHOPS
The Single Cell RNA Sequencing Workshop is a free, in-person, hands-on course held December 9–12, 2025, at the Inasmuch Foundation Atrium in the Bird Library. It will teach participants how to perform single-cell RNA sequencing analysis, including data alignment, visualization (UMAPs, heatmaps, volcano plots), and advanced analyses like ligand-receptor interactions, pathway, and pseudotime. The workshop uses bash and R and requires attendance at all three full-day sessions. Data will be provided. Around 20 applicants will be accepted; applications are due by July 31, 2025, with decisions sent by August 15. Full details and requirements are in the flyer.

The Stand Up to Cancer® (SU2C) Lung Cancer Early Detection Challenge is interested in evaluating different platforms for liquid biopsies for the early detection of lung cancer prior to treatment in smokers, in order to improve patient outcomes.
The resulting platform from this two-step program will result in detection of early-stage lung cancers before treatment with drastic improvement in the existing standard and compliance.
Round 1 grants will range from $150-$200K and are intended to support a 12–18-month grant period. The Application deadline is Thursday, October 2, 2025.

Cancer Research Institute Postdoctoral Fellowships

As we approach the start of Fiscal Year 2026, I’d like to share a few important reminders to help ensure a smooth and compliant transition into the new year:

Timely Charging of Project Expenses
All project-related expenses, including cost share expenditures, must be charged to the appropriate sponsored project as they are incurred. Many awards now require supporting documentation, so it is essential to demonstrate sound fiscal stewardship to our sponsors.

EPAF Submission Deadlines
Please ensure that all EPAFs are submitted prior to the end date of the sponsored project to avoid the need for cost transfers. EPAFs may be submitted mid-payroll for sponsored projects.

Restrictions on Salary Cost Transfers
Once payroll confirmations are finalized, salary expenses charged to sponsored projects cannot be transferred. Please plan accordingly to avoid compliance issues.

Cost Share Chartfield Setup
When establishing cost share chartfields, ensure that the function code for the cost share line matches the function of the sponsored program.

Use of Function Code 00311
Function 00311 should be used exclusively for direct departmental research expenses. Direct departmental research expenses include, but are not limited to equipment, supplies, personnel, and travel that can be easily attributed to a research activity. Function 00311 is not appropriate for departmental support staff salaries and travel, breakroom supplies, or faculty recruitment costs.

Monthly Account Reviews
Monthly account reviews are required and must include review and signature by the Principal Investigator (PI). The Project Status Report provided by Grants & Contracts Accounting satisfies this requirement once reviewed and signed by the PI.

FINANCIAL SERVICES UPDATES
We would like to share some important information that will be effective 7/1/2025.

FRINGE RATES FOR FY2026: For OUHSC, the Federal Government, is behind schedule and has not approved our FY2026 fringe benefit rates. Until the rate is fully approved, we will remain on our FY2025 provisional rate. When we do receive approval, we will communicate those new rates to everyone. Also, we will complete any needed adjustments to true up the difference.

NEW GL CODES: Please review the attached document for a list of NEW GL codes and changes to how some existing codes will be used going forward. The most noteworthy are two new tariff GL codes – one to be used for tariffs on supplies and one to be used for tariffs of equipment/items that will be capitalized and coded to a “65” GL code. It is important to select these correctly to avoid vouchers being denied.

FIXED ASSET VOUCHER WORKFLOW CHANGE: On 7/1 we will begin using automated functionality within our voucher approval workflow for fixed assets. This will only impact vouchers and PO receipts that have been coded to a “65” or “66” GL code where our Fixed Assets team is in the approval workflow. For items that will be capitalized we will be adding asset information to the voucher itself. Because the voucher has been “edited” with this additional information it will cycle back to the department and through all approval workflow for a final review. This already happens when a voucher has been denied so you should be familiar with seeing vouchers cycle back through; however, it may feel odd at first because you won’t see denial comments. You may not even notice the changes. They are found on the “invoice information” tab” toward the bottom in the “distribution lines” table (screenshots provided below). There will be nothing additional for the department to do other than approve the voucher again to send it back through workflow.

REMINDER FOR NEW AWARDS

Complete all compliance approvals necessary for the project including FCOI training for PHS awards and Research Integrity Training for project personnel on research awards.

If patient data is needed from OU Health, approval from the Clinical Research Informatics Oversight Committee is required prior to processing the Notice of Award.

Route SoonerTrack Request Forms for all subawards and independent contractor agreements (ICAs) related to the grant.
