OUHSC Training Resources

Initial OnCore training is provided by Thomas Wilson and broadly covers navigation, system requirements, and basic protocol and calendar creation. Email Thomas-Wilson@ouhsc.edu cc: CTMS-Support@ouhsc.edu to request this initial training.

We have developed an abbreviated tip sheet ("OUHSC OnCore Quick Guide") on how to perform most basic procedures in OnCore.  Please note, this is updated regularly, and you must be a registered OUHSC user to access. Advarra University Trainings

OnCore includes a wide array of functionality, and we recommend also completing trainings on Advarra University relevant to the functions you will be utilizing. Below are a list of recommendations for free Advarra University courses based on role.  If you need additional support, please reach out to CTMS-Support@ouhsc.edu, and we are happy to meet with you and work on specific training needs. 

All users:

  • OnCore 100: Navigation eLearning This lesson shows how to find features and use them in OnCore.  You’ll also learn how to customize your workspace to make OnCore more convenient for you.
  • OnCore 105: Protocols - Basics eLearning This reviews the basic step and functionality to build your protocols in OnCore. This is helpful even for users who are not creating or editing protocols.

Managing Calendars

  • OnCore 300: Basic Calendars This interactive e-learning course reviews the basics of building a protocol calendar in OnCore.   It is recommended that you have a general understanding of protocols and are able to navigate within OnCore before taking this course. 
  • OnCore 320: Calendars Advanced In this course, learn about advanced calendar functionality in OnCore, such as strategies to simplify complicated calendars, open-ended calendars, and tips for finalizing and versioning calendars.
  • OnCore 330: Additional and Unscheduled Calendar Events This eLearning covers the strategies and build used to document unplanned, infrequent, or unknown calendar events.

Financials (including Coverage Analysis, Invoicing, etc.)

  • OnCore 400: Financials Basics An introduction to the basics of working with financials in OnCore, including working with the Charge Master, Budgets, Milestones, Invoices, and more.
  • OnCore 410: Financials Advanced In this module, learn more about the concepts and workflows behind the financial tasks that are performed in OnCore.
  • OnCore 450: Vendor Payables Introduced in OnCore 16.0, Vendor Payables helps manage bills from and payment to vendors. It is a financial tool to help your organization record and reconcile research expenses. Navigate through this lesson to learn about key Vendor Payables workflows.

  • OnCore 470: Budgeting Using the Financials Console This module explores entering study budgets using tools in the Financials Console.
  • OnCore 480: Post-Award Financials This course teaches learners how to create invoices and apply receipts in the Financials Console in OnCore. It also walks learners through verifying visit variations and adding them to invoices.

  • OnCore 510: Searching and Reporting With the large amount of information in OnCore, it is important to be able to retrieve data when you need it.  In this course, learn about searching and reporting tools you can use to find what you need in OnCore.
  • OnCore 515: Audits eLearning This interactive course outlines how to create audits, document audit findings, and run audit-related reports in OnCore.
  • OnCore 530: Registries Management Registries are collections of data created for a wide range of purposes, such as patient recruitment, tracking treatment outcomes, and so forth. In this recorded webinar, learn more about the working with registries in OnCore.
