NIH Increased System Enforcement of Filename Rules

The Format Attachment guidance on the How to Apply-Application Guide

( page has included the same

rules for filenames for many years. Filenames used for grant application attachments must be

  • descriptive;
  • unique within an application (or within a component of a multi-project application);
  • comprised of the following characters: A-Z, a-z, 0-9, underscore, hyphen, space, period,
  • parenthesis, curly braces, square brackets, tilde, exclamation point, comma, semi colon,
  • apostrophe, at sign, number sign, dollar sign, percent sign, plus sign, and equal sign; and
  • 50 characters or less (including spaces).

eRA systems now enforce the 50-character limit for filenames used for attachments in grant applications.

As a point of reference … This is 50 characters with spaces and punctuation. You can convey a

surprising amount of information in 50 characters, but maybe not as much as you want. For example,

“consortium-contractual-arrangements-institution-pi-name” is over the limit and its use would result in

an error.  The new validation will be part of the business rules checked by ASSIST and other solutions

that use the validation service pre-submission. If you think you might be pushing the 50-character limit,

run a quick Validate Application (if using ASSIST), Preview Grantor Validation (if using Workspace), or

whatever your system-to-system solution calls it and make any necessary adjustments. If the long

filename isn’t caught prior to submission, you know we’ll catch it after submission.

No one wants to be left scrambling to rename and reattach files at the last minute.

Beyond the Basics: Writing for NIH Grants

This talk goes beyond the basics of grant writing to discuss considerations for the research plan, convey

the NIH-recommended format and approach for each subsection, address and explain core-review criteria,

and discuss scoring conventions, rigor, and reproducibility.



ORAU-Directed Research and Development (ODRD) Program

The FY 2019 competition for collaborative awards of up to $75,000 to be shared between the university

and ORAU researchers is now open. We anticipate and expect that these seed funds will position the

collaborative teams to be more competitive for new, external funding opportunities. The deadline for joint

ORAU/university proposals is March 25, 2019 and potential university partners are encouraged to submit

concepts for discussion with ORAU partners as soon as possible.



The Oklahoma Center of Biomedical Research Excellence in Structural Biology (OCSB)

invites proposals for pilot project grants to be funded through our NIH/NIGMS COBRE award

(due March 29, 2019).  The OCSB seeks to promote and support research that combines structural biology

approaches (defined broadly) with other functional characterization of important biomolecules relevant to

the NIH mission of improving human health. The OCSB anticipates funding 4-5 applications at up to

$50,000/year (direct costs) plus institutional F&A costs for projects external to OU-Norman for up to

2 years of funding.”

INBRE NIH Visit Week for Students

NIH will continue with their annual NIH visit week again this year.  This is a unique opportunity for

students to apply to attend the annual NIH Visit Week (June 24-28, 2019), a one-week summer

enrichment program to expose Native American, Alaska Native and Native Hawaiian students to the

NIH and to biomedical research and healthcare careers.  Selected students will participate in science

career workshops, interactions in selected NIH laboratories and clinical research settings, a science

journal club, informational interviews and professional networking opportunities throughout the week. 

They will also meet with students in the NIH SACNAS Chapter, and learn about NIH internship

opportunities.  Student applications are due April 5th.  See attached document for additional information.
